Use mail merge with a delegated mailbox

Currently, there is no mail merge feature for delegated mailboxes.  It is only available from your own mailbox.  Here is the workaround so that you can use mail merge from your own mailbox as if you are sending from the delegated mailbox.

 Instructions

  1. Setup "Send as"

    1. Click on the gear icon of your Gmail inbox (top right corner) to access Gmail settings.

    2. Select the "Accounts" tab.

    3. Under "Send mail as", click on "Add another email address"

      1. In the "Name" field, put in the sender's name.

      2. In the "Email address" field, put in the delegated mailbox email address.

      3. Uncheck "Treat as an alias.

      4. Click "Next" and "Send Verification".  You will receive an email to the delegated mailbox with instructions on how to verify your address.

 

  1. Setup Email to be replied from the same address the message was sent to

    1. Click on the gear icon of your Gmail inbox (top right corner) to access Gmail settings.

    2. Select the "Accounts" tab.

    3. Under "Send mail as", select "Reply from the same address the message was sent to" under "When replying to a message".

 

  1. Create a custom signature for the delegated mailbox

    1. Click on the gear icon of your Gmail inbox (top right corner) to access Gmail settings.

    2. Select the "General" tab.

    3. Under the "Signature" tab, create the signature you want to be displayed when sending from the delegated mailbox email address.

    4. Select the signature you want to use when you use the delegated mailbox email address.

 

  1. Send email with mail merge from your personal account

    1. Click "Compose" in your Gmail inbox.

    2. In the "From" field, select the delegated mailbox email address.

    3. Click the "Use mail merge" icon (top right corner).

    4. Check "Mail Merge" and click on "Add from a spreadsheet".

    5. Select your spreadsheet with all the recipient info and finish linking the spreadsheet with your Gmail.

    6. You can now write your email and click "Continue" when done.

    7. Click "Got it"

    8. Click "Send preview" to send a preview email to yourself first OR click "Send all" to send out to all recipients.

 

What if I want to use MailMerge to send to external recipients?

CUE has restricted email being sent to external recipients using mail merge.  If you need to use mail merge with external recipients, please submit a ticket to helpdesk@concordia.ab.ca to request access to this feature.
